List the records you actually have
Record report type, issuing provider, property, system, issue date and any next-action date stated in the report. Retain the complete report, including deficiencies and limitations.
Keep dates tied to their source
Do not assume every system follows the same annual, quarterly or semiannual schedule. Ask the licensed provider or local fire official which requirements apply to the building and equipment.
Ask for missing records
A missing document is a request for clarification. It does not establish that the equipment is missing or that a building is currently in violation. Verify the latest status with the owner and appropriate professional.
Coordinate the next step
With owner authorization, share relevant records with a qualified contractor and request a defined proposal. The provider determines technical scope and the authority having jurisdiction determines enforcement.
